In this guide, we will walk you through the process of creating and managing Bulk categories in our system.
Upon logging into Site Manager, you will be directed to your inventory page where you can manage your categories. This includes the option to create bulk categories, which are a new type of category.
1. To get started, simply navigate to the left menu and click on "Categories".
Please note that upon initial login, you will have zero bulk categories and will need to add a new one.
2. In the top-right corner of the screen, click on '+ New Category' to create a new category.
Tip! In our system, a regular category is a grouping of unique assets that share a common trait or purpose.
For example, a category might be created for drills, and within that category there may be multiple unique assets such as 15 DeWalt DCF 8, 9, and 6 drills. Each individual drill would have its own serial number and be tracked separately.
On the other hand, a Bulk category is used for non-unique assets that do not have individual tracking requirements.
This could include items such as ladders, buckets, safety vests, and hard hats. These items may not have individual serial numbers or may not require detailed tracking information.
By using a Bulk category, these items can be tracked as a group rather than individually.
3. When creating a new category, whether it's a regular category or a bulk category, there is now a new radio button available to toggle between the two options.
4. When creating a Bulk category, keep in mind that it is intended for non-unique assets that do not require individual tracking. As such, there will be a quantity assignment when adding items to a Bulk category.
As an example, let's consider a Bulk category for safety vests.
1. First create a "Category Name"
2. Click the toggle to "Set as Bulk Category".
3. Enter the quantity to indicate the number of vests you have.
4. Select the "Default Assignments"
*This should be your company warehouse. This will help you keep track of the total number of vests in stock and available for distribution within the company.
The model number, inventory number, and manufacturer fields are optional when creating new items. However, we recommend adding model numbers as a unique identifier for the items.
5. Click on the pencil icon to add an image to the bulk category. Once the image is uploaded, click on the toggle button to set the same image for all assets in the category.
6. And click "Save".
7. The concept of quantity is a key feature of our product, which allows you to manage and distribute non-unique assets effectively. By giving each bulk category a quantity property, you can easily track and control the distribution of these assets.
8. Under the "Inventory" tab, click on the drop-down menu and check the box labeled "Bulk" to view all the Bulk categories.
9. To assign safety vests to a job site, click on "Assignment" in the left-hand menu and select the job site you want to assign the vests to, for instance, "EverBank Stadium"
10. Click on 'Assign Tools'
11. Under the drop-down menu, select "Bulk" inventory.
12. Then, select the bulk items you want to assign and click 'Add'.
13.On the left-hand side, a properties menu will appear, and in the "Quantity" field, add the required number of safety vests needed for the job site.
Users have the option to enter a 'Start' and 'End' date. This allows users to keep track of when the non-unique assets were distributed and when they should be returned to the warehouse.
Additionally, users can add a transfer note for any important reminders.
When finished, click the "Complete" button.
14. A transfer sheet will automatically generate for your records. Users have the option to print or download it to their local device. Click "CLOSE" when finished.
15. Now the user can see that the safety vest has been assigned to the job site.
16. Additionally, when the user goes back to the Inventory area.
17. Filter the bulk inventory using the drop-down menu to see the safety vest assigned to the job site.
Note that the quantity in your warehouse will automatically be deducted since 50 'safety vests' have been distributed to the EverBank Stadium job site.
