Once you have a spreadsheet of data from your previous program you will want to do some formatting and checking of your data prior to uploading it to Site Manager. We recommend the first thing you upload is the list of your Assignments.
Assignments
Assignments could represent jobs, trucks, job boxes, or people depending on how your company organizes assets. Each inventory management program can have different names for how tools are assigned but determining this will be very important to your organization of Site Manager.
Once you have determined which column of your data denotes your assignments you will want to separate this out and condense it so that there are no duplicate entries. You will want to make sure you do not change the name of your assignments after you have removed the duplication, assets that are uploaded need to have matching assignment names. Site Manager does support nesting assignments into each other called sub assignments, but you will need to do this step after you import your assignments.
We strongly recommend downloading the Assignments Template to properly format your data. The only required field is the 'Assignment Name'. You can fill in the other fields such as Project Code and address if your assignment includes that information, otherwise you can leave it blank. Assignments with valid addresses will be displayed on the Map view. Once you have filled in all data for your Assignments export your Assignments into a .CSV file. Excel files will not upload.
Follow these steps to get your Assignments uploaded.
Inventory
Once you have uploaded your Assignments you can now upload your inventory. There are a couple of considerations to take into account when uploading your inventory:
- You cannot upload quantity items at this time, if you wish to upload quantity items they must have their own unique line in the spreadsheet
- You cannot upload categories at this time, stay posted as we are adding additional functionality around categories in the future
- Barcode values must be unique, if there any duplicate barcodes your upload will fail
- If a tool has an Assignment it must already be in Site Manager, or the upload will fail
- When uploading Site Manager will attempt to match your columns to the predefined columns on Site Manager, if there is not a match you will have the option to add a custom column
We strongly recommend downloading the 'Inventory' Template to properly format your data and to reduce the chances of a failed upload. You can copy the appropriate columns of your spreadsheet into the template for each column you wish to import. If you need additional columns you can add them in the template and will be prompted to create new custom columns when you upload. Once you have filled in all data for your Inventory export your inventory into a .CSV file. Excel files will not upload.
Follow these steps to get your Inventory uploaded.
People
We recommend importing your team after you have uploaded your assignments. This will allow you to assign your team to your assignments that are already in the system. We strongly recommend downloading the 'People' template to properly format your data. For reach person you must include their name, email address, and phone number. This will allows Site Manager to send them an invitation via the method you choose to the assignments which they will have access to.
