What are Service Plans?
Service Plans help you track when tools and equipment need maintenance. The system will remind you when service is due, so your tools stay in good working condition.

How to View Service Plans
- Click Service plans in the left menu
- You will see a list of all service plans
- The list shows:
- Service plan name
- Type of service (Maintenance, Repair, Inspection)
- When service is due
- Who created the plan
- How many items need service

How to Create a New Service Plan
Step 1: Start a New Plan
- Click the blue Add service plan button in the top right corner
- The "New service plan" form will open
Step 2: Enter Plan Details

Service Plan Name (required)
- Type a name for this service plan
- Example: "Filter Maintenance" or "Drill Inspection"

- Click the dropdown menu
- Select the type of service:
- Safety
- Inspection
- Maintenance
Step 3: Select Tools or Equipment
You can apply this service plan to specific tool categories or individual items.
Option 1: Select by Category
- Click the Select category dropdown
- Choose a category from the list:
- Automotive
- Batteries
- Drill Bits
- Dust Management
- Electrical Tools
- Grinders
- Hand Tools
- And more...

Option 2: Select Individual Items
- You can also choose specific tools from your inventory
- This option appears in the inventory table
Step 4: Set the Service Schedule
Service Schedule Settings
Frequency (required)
- Click the dropdown menu
- Choose how often service is needed:
- Days
- Months
Number of Months/Days/Weeks (required)
- Enter a number
- Example: "3" months means service every 3 months
Step 5: Set Up Reminders (Optional)
Reminder Settings
Enable Reminder Alerts
- Turn on the toggle switch if you want reminders
Reminder Trigger
- Choose when to receive the reminder:
Day(s) before due - Get notified before service is due
Enter the number of days (example: 30 days before)
Reminder Frequency
- Choose how often you want reminders:
Start and due date only - Get 2 notifications (when period starts and when due)
Daily reminders - Get daily notifications from start until service is completed
Step 6: Set Up Alerts (Optional)
Select Alert Recipients
- Choose who should receive notifications
- Only people assigned to the tools will get alerts
Step 7: Save the Service Plan
- Review all information
- Click the blue Save button in the top right corner
- Or click Cancel to exit without saving
Understanding the Service Plans List
After you save a service plan, it appears in the list.
Color Indicators
- Orange badge - Items need service now
- No badge - Service is up to date
Columns in the List
- Service Plan Name - The name you gave the plan
- Service Type - Type of service (Maintenance, Repair, etc.)
- Schedule - How often service is needed (7 days, 12 months, etc.)
- Created By - Who created this plan
- Qty Incomplete - Number of items that need service
- Qty Due - Number of items where service is overdue
- Qty Up To... - Number of items with service up to date
- Actions - Click "View in inventory" to see the items
Tips for Using Service Plans
- Use clear names - Make it easy to know what the plan is for
- Set reminders - Get notified before service is due
- Check regularly - Look at the orange badges to see what needs attention
- Keep schedules realistic - Set service intervals you can actually follow
- Assign people - Make sure the right workers get notifications

Schedule: Every 7 days
Reminder: 1 day before due
Example 2: Torque Wrench Calibration
Name: Torque Wrench Calibration
Type: Maintenance
Category: Hand Tools
Schedule: Every 12 months
Reminder: 30 days before due
